The following are our basic Policies / Terms and Conditions:

CHECK IN TIME: 3:00 pm

We cannot accommodate earlier check in times due to back-to-back reservations. Please plan for this when making airline reservations as the property will need time to be cleaned.

CHECK OUT TIME: 11:00 AM

Due to back-to-back reservations, we  cannot accommodate late check-out times. Please adhere to the 11:00 check out time.  If available we can possibly offer a late check out for a fee.  However it must be set up ahead of time and not last minute.  We schedule our cleaning staff in advance.

RESERVATION DEPOSIT:

The initial Deposit  (25% of total) is due immediately upon email receipt of the signed RESERVATION AGREEMENT.  We allow a 48 hour Hold Time only.  Credit card guaranty's are required to secure reservation.   If you do not have a credit card for some reason, we will make an exception and checks or money orders in US funds payable to Kohala Estate Management can be mailed to our office at the address below.  (Note:  Checks must be received within 3 days of booking Reservation)

SECOND PAYMENT

The  (75%) of Rental amount is due 45 days prior to arrival. Reservations not paid in full 45 days prior to arrival will be canceled.  Our guests are considered PAID IN FULL when both the INITIAL DEPOSIT and FINAL PAYMENT is received.  If making a Reservation within 45 days of Arrival date, payment will be due in FULL.

CANCELLATION POLICY:
No refunds if canceled less than 45 days prior to Arrival Date.  50%  of initial payment shall be returned if canceled on or before the 45th Day of Arrival Date.   If your Reservation is cancelled less than 45 days prior to Arrival Date no refunds will be offered except for the Security Deposit if paid, and the cleaning fee if paid. Travel Insurance is recommended. We offer CSA travel insurance for a small fee at the time of Reservation.  In certain circumstances we will credit guest monies from a "Canceled Reservation," and apply them to a future reservation in the same property if space is available.  

PAYMENT TYPES ACCEPTED:

Credit cards accepted are: VISA, MASTERCARD and DISCOVER. We require a credit card for the initial payment to secure the reservation. We are sorry but we do not accept American Express.  You may book on-line and enter your credit card information yourself, or call us and we will assist.

CONFIRMATION:

Confirmation will be emailed to guest within 24 hours after initial deposit is made.

ADDITIONAL INFORMATION:

Directions, information on key access, gate codes, and local Hawaii contact will be emailed to guest 10 days prior to arrival. Upon your arrival there will  be a "GUEST WELCOME BOOK" inside the property with all pertinent information about the specific property including the wireless internet username and passcode.  All of our properties have wireless internet available.

DAMAGE PROTECTION:   We offer CSA Damage Protection up to $ 3,000 for the small fee of $ 49.00 (non-refundable) as a choice at time of Reservation, or you may opt to pay a refundable Security Deposit of $ 1,000.00.  The Security Deposit will be refunded (less any applicable damages, charges) within 14 days of Departure.

SECURITY DEPOSIT REFUND POLICIES:

Please note that monies will be withheld from the security deposit or charged on your credit card in the event of:

  1. Damage to the unit or its contents, including furniture and upholstery (replacement/repair cost)
  2. Additional cleaning ($ 30.00 per hr.) or professional carpet or upholstery cleaning charge due to stained or soiled carpets ($ 350.00 estimate)
  3. Keys/Gate cards not left in the unit or lost ( $ 25.00/key) Gate card replacements are $ 100.00 each.
  4. Lost or damaged beach equipment, such as chairs, umbrellas, snorkel equipment, coolers. (replacement cost varies)
